This cable label template Excel workbench treats a worksheet as a cable schedule rather than a picture of a page. Import a local XLSX, CSV or TSV, check the mapped fields and generate actual-size labels from the resulting rows. The blank and example workbooks use a real Cable Schedule worksheet. Cable IDs and endpoints are stored as text so SW01:01 remains SW01:01, not a number that loses its padding.

From schedule to a checked print

  1. Download the example XLSX or CSV and compare its headings with your own sheet. Keep endpoint IDs formatted as text before exporting from Excel.
  2. Upload a supported file or paste a tab-separated range. Map nonstandard headings, review the row count and fix every reported conflict.
  3. Select measured stock and set free copies or A/B pairs. Check the first and last routes, label count and first used cell.
  4. Print a measured alignment page, export a trial PDF and keep a local project JSON before producing the full batch.

A data dictionary for an editable schedule

The six primary columns are Cable ID, End A (Source), End B (Destination), Cable Type / Media, TIA Color Zone and Notes / VLAN. Cable ID should identify one physical cable, such as C-101. Source might be MDF-SW01:01 and destination RM204-D01. Media describes the installed lead, for example Cat6A UTP or OM4 Fiber; it does not change measured die geometry automatically. The color-zone column records your project scheme. Notes can contain VLAN 20 Data or a location description. Two optional columns, Panel and Port, make the socket association explicit. PP01 with port 1 and PP02 with port 1 are different assignments. Two records claiming PP01 port 1 are a conflict that must be corrected.

Import text without damaging identifiers

The file limit is 5,242,880 bytes, with at most 2,000 nonblank cable records. CSV and TSV are decoded as UTF-8; a UTF-8 byte-order mark is accepted. Commas inside notes must be quoted. Double a quotation mark inside a quoted field: Voice "A" becomes Voice ""A"" in a CSV cell. A note can span two lines when its enclosing quotes remain intact. TSV uses tab delimiters, which often makes spreadsheet paste more convenient, but quoted line breaks still need proper parsing. The same parser validates pasted text and uploaded delimited files. An empty file, an unsupported PDF, a renamed binary or unmatched quotes produces an error instead of a successful import.

Map headings and review real rows

The supplied headings map directly. If an export uses ID, From and To, choose those columns as Cable ID, Source and Destination in the mapping controls and apply the mapping. Do not guess that the first numeric column is a port: it could be a VLAN, a quantity or an inventory reference. Review the parsed row count and displayed endpoint strings. A valid import replaces the schedule only after full validation. Invalid files leave the previous dataset available and block affected exports until the errors are addressed. Duplicate IDs, missing endpoints and duplicate panel assignments report source row numbers. In imported data, row 2 is normally the first data row because row 1 contains headings.

Move from spreadsheet rows to physical labels

A schedule does not contain a universal paper layout. After importing three rows, choose the physical stock independently. Three single-end records create three labels. One identical extra copy produces six labels with each Cable ID adjacent to its copy; A/B pairs also create six, but the second end reverses the route. With 48 records, one copy, A/B enabled and five skipped cells, a 49-cell sheet needs three pages. The first five cells remain free of text, bars, fills and printed borders. Skip offsets do not remove records from the schedule. If you reuse a local project, it restores the paper, dimensions, offsets, end options and first-sheet position together.

Download reusable data, then calibrate the printer

Download a blank CSV or XLSX to establish the eight-column contract, or inspect the three-record example before importing a larger schedule. Current schedule CSV exports the actual edited mappings; it is distinct from a fixed example template. Save a version 1 .cablelabel.json file to preserve both rows and print settings. This is an explicit local download, with no automatic browser storage or cloud project. Before adhesive stock, export the calibration PDF and measure its 100.0 mm and 4.00 inch rulers. Letter should be selected in both the workbench and print dialog when using a Letter die. A4 is a different page, not a scaling instruction. Use Actual Size or 100%, disable Fit to Page, and start with one plain-paper trial.

Keep imports honest about scope and privacy

Only spreadsheet-style schedules are supported. PDF tables, photographed worksheets and CAD drawings are not XLSX imports and cannot be converted by renaming their extension. The first worksheet is read; move the desired schedule to that position or export that sheet as CSV. Workbook formulas are not recalculated by this tool: supply settled displayed values for identifiers. All raw files and worksheet contents stay in the browser. Generic ZPL and mapping exports are free. Contractor delivery is a coordinated package with a company header, blank inspection fields and named-column machine-import files; it does not certify that a printer-specific application or a cable tester has accepted the job.

Match the workflow to the installation

Use the office example for room-by-room desk moves, the data-center example for 48-port rack schedules, PoE for notes carrying camera locations, and XLR for stage-to-front-of-house channels. The wrap workbench adds diameter and laminate coverage checks; the panel workbench focuses on socket occupancy. The network guide explains how physical Cable IDs differ from the equipment endpoints that can change during a move.

Read the network cable naming and printing guide, fiber and thin-cable flag guide, and TIA reference and handover guide for task-specific checks.

Questions at the print bench

How do I preserve an endpoint ending in 01?

Use text cells in Excel. The downloaded XLSX writes identifier columns as text, and the importer reads formatted cell strings. Review SW01:01 in the schedule before export; a lost zero in the original file cannot be reconstructed reliably.

Which worksheet is imported?

The first worksheet supplies the schedule. Put your cable table there or export the desired tab as UTF-8 CSV. Empty worksheets and workbooks without data rows are rejected.

What happens to a quoted multiline note?

Properly quoted line breaks, commas and escaped double quotes remain inside the same Notes / VLAN cell. For example, a two-line Voice "A" note stays one record rather than becoming a second cable.

Can I fix one row after import?

Yes. Edit the visible Cable ID, endpoints, notes and panel fields, add a row or remove one. The same schedule immediately drives label counts, routes, strips and current-schedule exports.

Why do some errors mention row 3?

Imported source row numbers include the heading row. If the second data row duplicates C-101 from the first, its message identifies row 3 and the earlier conflicting record.

Are template downloads or generic ZPL paid?

No. Blank and example CSV/XLSX, mapping CSV, local project files, base label PDFs/SVGs and generic ZPL are free. The paid contractor package coordinates additional sign-off and machine-import deliverables.
